If you have access to the User Catalog in Back-office, you can create new users and customize the User Rights Profile from Advantage Back-office. 


This process can be followed when a new employee needs their own login details for Advantage Point of Sale and Back-Office. 


Add a user:

1. In Advantage Back-office, click the left sidebar menu.

2. Click on the System menu. 

3. Open the User Catalog

4. On the Users tab, click on the filter button in the navigation bar. A list of users will appear. Use the users 3-9 first:



5. If users 3-9 are all used, then click on the insert button at the bottom of the screen. This will clear all the fields on the Users tab:



6. Complete the following required field: 

- Surname.

7. Select specific criteria from the drop down lists on the following fields:

- Active (Change to Enabled)

- Startup Application (Application that displays every time the User logs in to Advantage Back Office.


NOTE: Keep in mind that the user's selected Startup Application / module, must also be assigned to the specific role the user is a member of in Access Control.

8. Select User Rights Profile:


Pro tip: Hover your mouse over the "No" drop-down list to see a pop-up description of each user right.
- Is a Point-of-Sale Cashier? : User is able to logon to the Point-of-Sale application.

- Is a Point-of-Sale Supervisor? : User is able to perform added functionality in the Point-of-Sale dependent on system option setup.

- Point-of-Sale Till Payout? : User is able to perform Till Payouts.

- Is a Database Administrator? : User is able to add and edit in system catalogs.

- Is a Customer Relations Manager? : User is able to correct customer allocations. Edit customer status and limits. Receive credit manager communications. 

- Is a Credit Controller? : User can be selected as a customer controller. Receive credit manager communications.

- Is an Accountant? : User can reverse customer and supplier payments and journals. Edit GL transactions. Edit Transaction and GL numbers. Delete and transfer GLs. Expire transactions. Post stock adjustments on stock take. Post GL transactions for stock transfer. 

- Is a Data Exporter? : User is able to export reports.

- Is a Procurement Supervisor? : User is able to post GRV, GRN, CRV, CRN, payments and journal transactions to previous accounting periods. Edit supplier invoice reference and document numbers.
- Is a Product Administrator? : User can remove and edit levy line items. Create, edit or delete a levy product.
- Is a Records Manager? : User is able to reprint documents as originals. Edit customer and document details in POS application.
- Is a Bin Supervisor? : User can sell out of non default user bin. 


9. To setup the log in  credentials, please follow ONE of the following 2 steps:

- If there is already a password, displayed by **, use the user number displayed at the top. For example if the user number is 4, type "u4" as the current password. Click "OK".



- If the Password field is empty, click on the "Change Password" button, and click "OK".

10. Type in your desired username (this displays on reports/ invoices/ quotations/ etc.)

11. Type a new password in the "New Password" input field.

12. Type the same password in the "Confirm Password" input field. 

13. Click on "OK"


NOTE: The user will use the same username and password to log into both Point of Sale and Back-office. 


14. Click on the "Add a company for this user" button. 

15. Select specific criteria from the drop-down lists for the following fields:

- Company

- Active (must be enabled)

16. Press the "Tab" button on your keyboard. 

17. Click on the save button in the navigation bar:


18. Click the left sidebar menu.

19. Click on Company Catalog

20. Click the left sidebar menu, again.

21. Click on User Catalog.

22. Go to the Cashier Tills tab. 

23. Click on the insert button in the navigation bar:


24. This will insert a row on the bottom of the Cashiers with Tills list.  

25. Select specific criteria from the drop down lists on the following fields:

- User

- Till

26. Press the "Tab" button on your keyboard.  

27. Click on the save button in the navigation bar:


28. Add the user to a role in Access Control.
